Job Description

Hamilton Gymnastics Club (HGC) has an exciting opportunity for an organised, enthusiastic and approachable membership coordinator to join our growing team.

This position is partially funded by sportscotland, providing a fantastic opportunity for someone to play an important role in the continued growth and development of our club.

We are a large, well-established gymnastics club, welcoming around 1,100 gymnasts each week across a wide range of disciplines, including recreational gymnastics, pre-school, women’s and men’s artistic gymnastics, tumbling, acro, ASN gymnastics and display gymnastics.

We are looking for someone who enjoys working with people, has excellent organisational skills and can help us provide a positive experience for our members and families.

The successful candidate will play a key role in managing our memberships, registrations and waiting lists, supporting the smooth day-to-day running of the club and helping us continue to grow and reach more people within our community.

Key responsibilities

  • Manage club memberships, registrations and renewals
  • Oversee Scottish Gymnastics memberships and ensure all gymnasts are correctly registered
  • Maintain accurate and up-to-date membership records and databases
  • Manage waiting lists and support the allocation of available class spaces
  • Respond to membership enquiries from existing and prospective members
  • Communicate regularly with parents and families regarding memberships, renewals and class availability
  • Monitor membership numbers, retention and waiting lists to identify opportunities for growth
  • Help improve administrative systems and processes to ensure the club operates efficiently
  • Work closely with coaches and management to support the day-to-day running of the club
  • Gather feedback from members and families to improve their overall experience
  • Support outreach activities to encourage participation from individuals and communities who may not currently access gymnastics
  • Ensure membership information is managed securely and in line with data protection requirements

About you

We are looking for someone who:

  • Has excellent organisational and time management skills
  • Is confident communicating with parents, families and staff
  • Has good IT skills and experience using databases or membership management systems
  • Can work independently and manage competing priorities
  • Has strong attention to detail and takes pride in keeping accurate records
  • Is friendly, approachable and committed to providing excellent customer service
  • Enjoys being part of a team and contributing to a positive working environment
  • Is enthusiastic about helping more children and young people access sport and physical activity

Previous experience in administration, customer service or membership management would be beneficial. Experience within a sports club or community organisation would be an advantage but is not essential, as training will be provided.

What we offer

  • A friendly and supportive working environment
  • A salary of £14.10 per hour (£14,664 per annum based on 20 hours per week)
  • A fixed-term contract of 2–3 years
  • Flexible working hours to be agreed with the successful candidate
  • The opportunity to be part of a successful and growing community gymnastics club
  • A varied role where you can make a real difference to our members and families
  • Opportunities to develop your skills and contribute ideas to improve how the club operates
  • The chance to support greater participation and inclusion in gymnastics across our community

Safeguarding and safe recruitment

Hamilton Gymnastics Club is committed to safeguarding and promoting the welfare of children and young people. We are dedicated to providing a safe, positive and inclusive environment for everyone involved in our club.

This position has been identified as a regulated role and the successful candidate will be required to complete our safe recruitment process, including:

  • Appropriate PVG Scheme membership and checks through Disclosure Scotland
  • Satisfactory references
  • Completion of relevant safeguarding and child protection training
  • Compliance with Hamilton Gymnastics Club’s safeguarding policies and procedures

Appointment will be subject to satisfactory completion of the relevant recruitment checks.
